Choose the right ERP, and switch only when it pays
An ERP decision shapes your business for the next 5–10 years. We compare your realistic options against how you actually work, and give you a clear cost case before you spend anything.
When should you rethink your ERP?
Most SMEs don't need a new system every few years. These are the signals that usually mean it's time:
- Month-end close takes days of spreadsheet work
- Stock in the system never matches the shelf
- The same data is typed into two or three systems
- You're adding branches, warehouses or companies
- Approvals happen on WhatsApp, not in the system
- Owners wait days for basic sales or cash reports
- Your current vendor no longer supports you well
- You want AI, but your data is scattered
Four realistic routes, compared honestly
We implement all four, so there's no reason for us to push one. This is how we typically advise SMEs.
| Keep & extend | Cloud ERP (Zoho) | SAP Business One | Custom ERP | |
|---|---|---|---|---|
| Best for | Businesses whose core system still works | Small teams with simple, standard processes | Inventory, manufacturing, approvals, multiple branches | Unique processes that give you an edge |
| Strengths | Lowest disruption; add apps, WhatsApp and AI around Tally or QuickBooks | Low monthly cost, fast to start, easy to use | Deep inventory and finance, strong controls, scales across companies | Fits exactly, no per-user licences, you own the code |
| Watch-outs | Limits remain; integrations need care | Limited manufacturing and complex stock | Licence and implementation investment | Needs a good partner and ongoing upkeep |
| Cost profile | Lowest: add-ons only | Low monthly subscription | Medium to high: licences + implementation | Build cost, then low running cost |
| Time to go live | Weeks | 2–6 weeks | 6–12 weeks | First module in 8–12 weeks |
Where it fits better, we'll also evaluate other ERPs such as Odoo, Microsoft Dynamics 365 Business Central or Oracle NetSuite, and tell you honestly if one of them is the right answer.
Is switching worth it? We put numbers on it
Every recommendation comes with a 3–5 year cost comparison and a payback estimate, so you can decide with confidence.
Cost of switching
- Licences or subscriptions
- Implementation, data migration and training
- Customisations and integrations
- Hosting, support and upgrades
Cost of staying put
- Hours lost to re-keying and spreadsheets
- Stock errors, write-offs and lost sales
- Slow month-end close and late decisions
- Growth you can't support: new branches, channels, AI
If the numbers say staying with your current system and extending it is cheaper, that's what we'll recommend. See how we migrate safely →
Is a custom ERP an option?
Often yes, but not always. Here's the honest test.
Custom makes sense when…
- Your core process is unique and gives you an edge
- Per-user licence fees would grow fast with your team
- Customers, dealers or field staff need their own apps
- You want to own the software and data outright
Choose off-the-shelf when…
- Standard accounting, inventory and tax are all you need
- Compliance changes often and you want it handled
- You need to go live in weeks, not months
- You'd rather not manage a software product

ERP selection questions
How do I choose the right ERP for my small business?
Start from your processes, not product features. List what must work on day one (inventory, manufacturing, approvals, tax and compliance, number of branches), compare two or three realistic options against it with demos on your own scenarios, then compare 3–5 year costs. That's exactly what our ERP fit check does.
SAP Business One or Zoho: which is better?
Neither is better overall. Zoho is quicker and cheaper for simpler businesses. SAP Business One is stronger for inventory-heavy, manufacturing and multi-branch companies that need tighter controls. We implement and migrate in both directions. See the comparison.
How much does it cost to switch ERP?
It depends on users, modules, data and integrations. We give you a fixed-price implementation quote plus a 3–5 year cost comparison against staying put, including the hidden cost of manual work and errors, so you can see the payback before deciding.
Do you also consider Odoo, Business Central or NetSuite?
Yes, when they suit your business better. Our job is to find the right fit. If the best option is one we don't implement ourselves, we'll tell you.
What if we don't need a new ERP?
Then we'll say so. Often the better move is to keep your current system and add what's missing: mobile apps, WhatsApp integration, reports or an AI assistant on top of your data.
